J A Burke needed to digitalise online inductions and personnel management

In 2018, Midlands-based construction groundworks contractor J A Burke had grown substantially over the past few years. To prepare themselves for further growth, they were looking to digitalise their internal health and safety induction processes.

Their key requirement was to centralise data collected during an induction into one single web application, in effect creating a bespoke personnel management tool. They wanted to start with a health and safety online induction system, but ideally needed to be able to tailor custom software to build a bespoke solution.

For J A Burke, the key objective was to digitalise their personnel management processes. Ensuring that the credentials for all of their employees and suppliers were up to date was a time-consuming and arduous process. Being able to digitalise and automate their compliance responsibilties was fundamental to their Pre Enrolment system’s success.

Meeting compliance responsibilities started with delivering online inductions

Developing a bespoke online induction system was the first step to ensure that information was gathered from operatives (construction workers) accurately and consistently. This online induction process was designed to match their existing paper-based processes.

As part of this, a thorough understanding was established of J A Burke’s compliance responsibilities. Their Pre Enrolment system was then designed to automatically notify specific individuals at certain times prior to the expiry of training courses, qualifications and accreditations. The events where credentials become invalid, require renewing or changing were also programmed into the system, digitalising and automating additional processes.

At the start of 2019, the Pre Enrolment system, ‘Stay Safe Together’, was rolled out. Whilst on the surface, the web application is a health and safety online induction system for their employees and subcontractors, its most valuable function is as a compliance database and tracker.

Checks and processes have been fully digitalised and automated to provide a tailored personnel management tool. Key people within J A Burke and their supply chain are notified in advance when credentials are approaching expiry. The web application notifies only relevant, specific people based on the type of credential and who it belongs to.

Through the Pre Enrolment service, J A Burke has an extensible, future-proof system

In 2020, Stay Safe Together was tailored further to incorporate a manual completion ‘checker’. This allows J A Burke’s supply chain to perform a check on one of their employee’s credentials and see instantly when they are due to expire.

In 2022, the capabilities of the system were further extended to digitalise pre-qualification questionnaire (PQQ) information. Both employees and subcontractors can upload their insurance and compliance information for each project, into a centralised location.

Construction contractor J A Burke needed a bespoke personnel management tool. By developing an online induction system through the Pre Enrolment service, J A Burke received custom software and a flexible service-led approach, without the requirement for any upfront investment or capital expense. What started as an online induction system evolved into a bespoke personnel management tool.
Regular wording and content changes are included as part of the service at no extra cost and are scheduled out to tie-in with J A Burke’s business plan. The tailored solution provided saved a substantial amount of time and resources in the first year alone; this was well in excess of the operational cost.
